Quotas Most companies impose quotas that limit how much storage each associate can use for emails. Without these quotas, server disk drives would overflow and email systems would come crashing down.
Attachment multiplication. Imagine you send a 1MB PowerPoint presentation to ten colleagues there is now 10MB of duplicated data. If each of those emails is stored on the company file server and it gets backed up every day and the IT department keeps ten days’ worth of backups, the original attachment is now consuming 100MB of backup storage. Most companies backup overnight but, if backup sets grow too big, there is a risk the backup may not be completed in time, or that it might overrun into the next day, slowing down normal IT operations during the working day. Round-the-clock or global operations make it even more important to complete backups quickly.
Software Limitations Outlook 2003 and older has a 2 Gigabyte limit and Exchange server 2003 and older has a total limit of 75 Gigabytes for the entire enterprise.
Broken Inboxes. As soon at outlook reaches the 2 gig limit your email will fail and you will be in danger of losing critical business data, not to mention the expense of having IT repair your inbox.
